Nest Insight fair processing notice – Contractual opt-out pilot qualitative research

This fair processing notice (‘notice’) provides you with information about how your personal data will be used in research of the payroll auto-save pilot with SUEZ recycling and recovery UK.

This should be read alongside Nest Insight’s Privacy policy, which has more information about your data protection rights. We are required under Data Protection legislation to notify you of the information contained in this notice.

1. Who is processing your data

Nest Insight (on this research project, acting as an independent data controller): we decide how your data is collected and processed for this research. Nest Insight is a public-benefit research and innovation centre focused on identifying solutions to ensure people are financially secure today and in the future.

2. What personal data we are using and why

Since 2021, Nest Insight has been working with SUEZ to investigate how a Payroll Autosave scheme for new employees makes saving easier and more accessible. This has been very successful and supported over a thousand colleagues to get started with saving.

SUEZ have now undertaken a pilot to investigate rolling out the Payroll Autosave scheme to current SUEZ employees, not just new joiners.

To evaluate the pilot, we are conducting interviews and focus groups.

To conduct these interviews and focus groups, we may collect, store and use (process) the following personal data about you for the interview and focus group research only:

  • first name and surname
  • phone number
  • email address
  • job role
  • ethnicity
  • age, gender, income band and other demographic information
  • information about your knowledge of financial products held
  • your personal circumstances (including financial circumstances) and your views experiences and behaviours around payroll autosave and money management
  • audio and/or video recording (note: you will never be recorded without your prior consent).

We’ll use this data to understand your experiences and perceptions of payroll autosave.

Separately, we will also analyse administrative data provided by SUEZ to understand whether the payroll autosave scheme leads to higher savings for employees taking part. The privacy notice for this can be found here. We will not be able to combine the administrative and qualitative data sets.

All our results are anonymised, meaning it will not be possible to identify you in any of our research outputs.

Special category data
Special categories of data are more sensitive and have extra protection under Data Protection legislation. This includes data that could reveal, for example, your racial or ethnic origin, health data, or data concerning a person’s sexual orientation.

We’ll ask for your explicit consent to collect data on your ethnicity.

We do not intend to process any other special categories of data for this project but if you share special categories of data information with us through your responses, we will either remove it from the dataset, where possible, or ask for your explicit consent for this data to be processed and used for the purpose of the research.

3. Why are we legally allowed to use your data

Our lawful basis for collecting or using personal information is Consent (Article 6(1)(a) of the UK General Data Protection Regulation (UK GDPR).

Our condition for collecting special category data on ethnicity is Explicit consent (Article 9(2)(a) of the UK General Data Protection Regulation (UK GDPR).

We will collect your consent before you can take part in these research activities.

If you do consent to participate, you may withdraw yourself from the research at any time, without giving a reason, by advising Nest Insight via email, text or WhatsApp.

4. Sharing your data with third parties

We may use the following third-party processors to support the research:

  • The online survey provider Smart Survey will host the survey, their privacy policy can be viewed here. Your use of the survey platform may be subject to their privacy policy, but they will not have access to your personal information.
  • If you (are eligible and) provide your consent to participate in an interview, this will be audio recorded using Microsoft Teams (their privacy policy can be viewed here) or Zoom (their privacy policy can be viewed here).
  • We use a platform called Ayda to compensate you for your time and contribution to the research. You will be asked to sign up to their privacy policy and terms of use. Their privacy policy can be viewed here.
  • Where you have provided your phone number and consent for us to do so, we may use WhatsApp to communicate with you. Conversations on WhatsApp are subject to their privacy policy which can be viewed here.
  • Interviews may be recorded and shared with a software platform to provide a transcription. The transcriptions will be pseudonymised or anonymised where possible after transcripts are created.
  • Nest Insight will remain the controller of your personal data.

5. Transfers outside of the UK or EU

Your personal data will generally be processed in the UK. However, some of the organisations that we share your personal information with to deliver our research activities may process it overseas. If any sharing means that your personal information will be transferred outside the UK, we will only make that transfer if:

  • the country to which the personal information is to be transferred ensures an adequate level of protection for personal information
  • we can put in place appropriate safeguards to protect your personal information, such as an appropriate contract (like the contract terms sometimes called Model Contract Clauses which includes the UK’s international data transfer agreement (ITDA) or the EU’s standard contractual clauses (EU SCCs) supplemented by the ITDA addendum; and
  • the transfer is necessary for one of the reasons specified in data protection law.

In some situations, we may request your consent to the transfer to ensure this is lawful.

If we use any third-party service providers who are not based in the UK, we will carry out a risk assessment to determine whether appropriate safeguards are in place (taking into account the level of security, the volume of data, sensitivity of data) and seek to ensure that the necessary safeguards are in the contract.

6. Your participation

If you agree to participate in our interview and focus group research, we will use either the phone number or email address provided by you in the sign-up form to contact you about participation in our research.

We offer compensation of £25 for participation in a 30-minute interview and £40 for compensation for participation in a 60-minute focus group. We will need your first name, surname and email address to pay your compensation through a platform called Ayda.

Nest Insight will retain your first name, surname and email address for the purpose of paying your compensation and delete this data after this has taken place.

7. Communicating with us via WhatsApp

We will contact you by e-mail and/or phone to inform and update you about the interview if you have shared your details with us for this purpose.

We know some people prefer to use WhatsApp to communicate so, where you have provided your telephone number and given consent, we will contact you via WhatsApp.

Before you provide consent for us to contact you via WhatsApp you should read the WhatsApp LLC privacy policy.

Just so you are aware, WhatsApp LLC encrypts any messages you send using the app which means they cannot see what you share with others. Some people are still concerned that WhatsApp isn’t a totally secure platform and you do not have to use it in this research. Whatever you feel about using WhatsApp for your own messages, it’s a good idea to be careful about sending anything personal or sensitive through this channel:

  • We ask you to only use WhatsApp to communicate with us about interview dates, logistics, or questions.
  • We recommend you do not share any personal or sensitive information with us via WhatsApp that include photos of people, bank details, addresses and other sensitive content.
  • Please be aware that we have no control over the way data is stored and sent to you on your own device. We will erase any personal or sensitive data you share with us within 72 hours of receiving this from our device.

8. Keeping and storing your data

The personal information processed for the purpose of research will only be stored for as long as is necessary to complete the research analysis and publish the findings. We will keep your personal information for no longer than six months after the completion of the research project. After this, any personal data will be anonymised.

Your personal data will be stored securely and only the research team will have access to it.

9. Complaints and more information

If you have any concerns or complaints about our use of your personal data, you can contact us using the details at the top of this privacy notice.

If you remain unhappy with how we’ve used your data after raising a complaint with us, you can also contact the Information Commissioner’s Office (ICO).

Frequently asked questions (FAQs)

You do not have to complete the sign-up form or participate in the interview. You can ask questions about our research before deciding whether or not to participate. 

If you do agree to participate, you may withdraw yourself from the research at any time, without giving a reason, by advising Nest Insight via email, text or WhatsApp.   

You can contact us with any queries or to request to withdraw from the research by emailing us at insight.research@nestcorporation.org.uk. At your request any personal data not already anonymised will be deleted from the research. It is possible to withdraw your data from written data sets, however in video or audio recordings this will not be possible. 

The possible risks of participating in the research are minimal. Your privacy matters to us. We handle your personal data with care, apply strict safety measures, and follow UK data protection legislation to make sure your personal data stays safe.  

If you take part in a focus group, we cannot guarantee that other participants would maintain confidentiality after the research activity has concluded. For this reason, we aim to avoid collecting personal data through the discussions. Your personal data will only be collected and used to support the organisation of the groups and paying compensation.  

You will receive no direct benefits from participating (except the compensation for your participation in the research). However, your responses will help us to learn more about how to support employees to save. These findings will contribute to important research that could help policymakers, academics and the financial services industry better understand how to support people to improve their financial wellbeing.
